Receiving and Managing Scouting Requests from Agents

With our scouting tools for agents, talent on the platform may now be offered representation via scouting requests. When talent receives a scouting request there will be an opportunity to begin a dialogue with the agency in question to determine if this is something said talent would be interested in. This article will provide an overview of the this whole process.

Upon receiving such a request, talent will receive an email alerting them to it. Clicking on 'View Request' will bring you to the scouting request within your account.

Conversely, you would also be alerted to the scouting request upon logging into your account. There would be notifications shown as seen below:

As you can see there are alerts next to both the 'Messages' and 'My Applications' icons.

Clicking into messages will bring you to the scouting request message:

Clicking into 'My applications' will bring you to the 'My Agency Requests' dashboard:

All of these routes will bring you to the actual Scouting Request upon clicking 'View Request':

Once in the request, talent can read the message sent by the agent and review 'Agency Details' that are located in the right pane. If you are interested in the proposed representation you would click on the 'I'm Interested' button. If you were not quite ready to formally indicate interest you could instead click on the 'Reply to Message' button and ask whatever questions you would like to determine if you are interested in proceeding further or not.

If you click on the 'I'm Interested' button, the following modal will appear:

A message must be written in order to proceed any further. Once that is entered and 'Confirm' has been pressed, the agent will be alerted to your interest!

The Scouting Request within your account will change to reflect the step that has been taken in the process.

It will also be apparent in the 'My Agency Requests' dashboard:

Assuming that both sides want to move forward on the representation offer, the agent would now send over a contract to seal the deal.

Once you have received the contract it can be downloaded via the 'Contracts' attachment seen above. All documents of this nature should be reviewed carefully and thoroughly before signing and returning them.

After you have signed and want to proceed with being added to the agency's roster, you will need to click on the 'Accept Invite' button seen above which will surface the modal below:

The next steps are to write a message to the agent, upload the signed contract, and to click the 'Accept Invite' button.

You have now been added to the agency's talent roster! You will now be able to be submitted for work on the platform by your agent.

There may be an occasion where a talent is not interested in having representation, they are not interested in a particular agency, or after having some back and forth correspondence determine it would not be a good fit. In such cases there is an option to decline the request.

Clicking 'Decline Request' will bring up the modal below:

It is optional to include a message indicating to the agent why the request is being turned down as noted above. To formally decline the request click on the 'Decline Request' button.

You will now be prompted to indicate to our company why you are declining the request. This is helpful in allowing us to make future improvements.

Now press 'Send Feedback.' This will officially close the scouting request. The agent will no longer be able to contact you in regards to this request.

Should you change your mind at a future date and want to reconsider the scouting request there is an option to reopen the request via the 'Reopen Request' button seen above. Clicking that will raise this:

You may now open the dialogue again and click 'Send and reopen.' The scouting request is now open again:

Just as the talent may decide to decline the request, the agent may do so as well should it be determined that they are no longer interested. If the agency closes the request, you will be notified of such and the scouting request will show as closed by agent within the 'My Agency Requests' dashboard. If the agent closes the request the talent will not be able to contact the agency in regards to this matter anymore.
